The Digital Home for Business Processes
metamorphOS is the digital home for processes – a business orchestration and automation platform that enables the collaboration between people, AI agents, and automations. Its customers are typically fast-growing mid-sized companies across many industries. What unites them: complex, cross-team workflows that a single app can’t handle and that break down when managed in spreadsheets and email threads.
For these organizations, an overarching workflow orchestration platform like metamorphOS, one that integrates all the apps they rely on for their daily work, isn’t a “nice to have.” Automation across those apps is essential for scale, governance, and control. That’s where FlowMate helps metamorphOS deliver on its promise.
The Automation Challenge for Any Customer and metamorphOS
Most customers don’t arrive saying, “We want to digitize our processes.” They come with an urgent operational problem: coordinating vendors, generating quotes, or shepherding approvals. One frequent scenario makes the pain concrete:
- A Request for Proposal (RFP) arrives in HubSpot.
- Sales needs supplier prices to craft a competitive offer.
- The team must solicit Requests for Quotes (RFQs) from multiple vendors, each with different capabilities, formats, and response habits.
- Replies trickle back by email and PDF. Key details get buried. Ownership is unclear. Status is invisible.
Customer challenge (RFP-to-Offer gap)
Traditional CRM systems are optimized for standardized, customer-centric processes (think lead-to-opportunity management in sales or service). They typically begin once a lead is captured, and follow the path through to a deal being closed. They don’t offer the ability to orchestrate the ad-hoc, cross-team or cross-vendor workflows needed to create a project specific offer.
There is a sizable gap between “RFP received” and “Offer sent” – precisely where orchestration is needed most. And while DIY automation platforms (Zapier/Make) can string a few steps together for a single user, they lack multi-user governance, observability, and enterprise-grade scalability and they don’t support manual user interaction. That’s exactly the space where metamorphOS comes in as an overarching workflow management platform, including human-in-the-loop actions.
metamorphOS challenge (integration at scale)
Customers use a wide range of apps that must connect cleanly into the orchestration layer. Each new request can mean another API to support, another authentication flow to manage, each one adding to an already large maintenance burden. Delivering on the promise would require building and maintaining countless bespoke integrations, diverting resources from the core product and delaying time-to-market. Without a scalable approach, integration becomes a growth limiter.
How FlowMate Extends Orchestration
metamorphOS chose FlowMate due to its ability to support a universal trigger/action interface via API, allowing metamorphOS to embed any necessary trigger or action into a process. With the embedded FlowMate Integration Center, a metamorphOS User can connect to the apps in their tech stack, and configure the triggers and actions they would like to use in their processes.
FlowMate provides the activated flows and the underlying data schemas via API, allowing metamorphOS to directly enable integration steps in their workflow builder. When a process is executed, metamorphOS dynamically triggers the flow via API, enriching the API Call with the instance specifc parameters. FlowMate does the rest. The magic of instant actions in third-party applications such as HubSpot, Xero, and others, becomes a reality.
From RFP to Offer: The End-to-End Story
When a salesperson moves a deal to a specific stage in HubSpot, FlowMate detects the event and launches the corresponding process in metamorphOS. The right workflow starts at the exact moment it’s needed.
metamorphOS orchestrates the Offer Creation and Approval Process: it structures the RFP, determines which vendors can fulfill which parts, and prepares RFQs. metamorphOS leverages FlowMate templates to handle the communication layer in the background. metamorphOS creates the contents for vendor specific mails, including the messages and attachments, and sends them using the same customer configured “Send Email” flow.
Another Flow, for receiving emails, is embedded, bringing the incoming responses (emails, PDFs, even faxes routed to a digital mailbox) back into metamorphOS, where they are automatically associated with the correct case. Vendor selection and offer creation is completed in metamorphOS, and after approval, the offer is synced to HubSpot, the deal stage is updated through two more FlowMate flows. The Sales Team can now continue the Sales Process in HubSpot.
What used to be opaque and error-prone becomes auditable and repeatable.
Why FlowMate, not alternatives?
Before FlowMate, the team tried an integration tool that still required custom code and per-customer logic. It was brittle, complex to configure, and hard to scale. FlowMate flipped the model:
- Template-driven: Reusable integration templates, not one-offs.
- Multi-tenant by design: Built for SaaS deployment to roll out across many customers.
- User-configurable: The same connector can power many use cases, with parameters mapped directly from each process’s context.
- Governed: Required fields, data types, and schemas flow from FlowMate to metamorphOS, ensuring correctness at design and run time.
Driving Business Impact and Growth
Customer value that shows up in seamless operations
metamorphOS clients experience reliable, context-aware automation embedded directly in the workflows they run every day. One pilot customer’s CFO reported that introducing metamorphOS — empowered by FlowMate automations — became the single most valuable contribution of his interim tenure because it established durable control and quality across a previously chaotic process.
Core to a Growing Business Model
For metamorphOS, integrations aren’t a sidebar — they are a growth engine. They’re foundational to delivering on the promise of a digital home for processes. With FlowMate, metamorphOS not only executes the work, but also scales seamlessly across customers. The team can roll out new integrations quickly using FlowMate’s connector framework and schema-driven parameters. That means faster onboarding, fewer errors, lower maintenance, and the ability to support a growing customer base — all without diverting engineering from the core product.
Fueling the Next Stage
metamorphOS already offers a broad portfolio of integrations and plans to expand the offering with every new customer. FlowMate provides a fast and repeatable workflow for building and deploying new connectors, making expansion straightforward.
What’s next:
- More connectors (including AI). Expand the integration portfolio to cover new use cases, especially AI-powered with platforms like ChatGPT, Claude, and others.
- AI Agents as workflow participants. metamorphOS supports scenarios where AI agents act as process actors. Currently this is only possible through a direct connection between the Agent and metamorphOS. It is being explored how FlowMate can be leveraged to ease the connection between metamorphOS and their users’ agents.
Why This Matters (Beyond One Use Case)
The RFP-to-Offer flow is just one example. The same pattern applies to order creation, invoicing and collections, supplier onboarding, request approvals, and more—wherever there’s a handoff between people and systems, especially across multiple vendors and apps.
DIY automation tools can be great for a single power user. But when multiple teams, shared data, compliance, and auditability enter the picture, you need orchestration plus governed, reusable integrations. That combination is what lets organizations move from ad-hoc coordination to operating system.
